CPAP Supplier Startup Requirements
Plan the operating, accreditation, documentation, setup, service, and billing workflows needed for a PAP and respiratory supply business.
Typical products and operations
- PAP and bilevel equipment selected within the supplier's accredited and licensed scope
- Masks, interfaces, cushions, tubing, humidification, filters, and related respiratory supplies
- Order and clinical-document intake without making unsupported coverage determinations
- Inventory, fulfillment, delivery, setup, patient instruction, and follow-up
- Resupply request, utilization, complaint, replacement, and discontinuation workflows
- Maintenance, cleaning, infection-control, repair, loaner, and equipment-return processes as applicable
Documentation workflow
Build a controlled path for orders, qualification records, product selection, setup and instruction records, delivery evidence, follow-up, continued-use or resupply records, payer communications, and billing review. The workflow must identify which current policy source governs each decision.
Accreditation and delivery considerations
Confirm that the accrediting organization covers the respiratory categories and services planned at each location. Staff procedures should address setup, safe use, cleaning, mask or interface instruction, maintenance, complaint handling, after-hours escalation, and emergency planning where applicable.
Billing-readiness and common risk areas
- Accreditation, enrollment, licenses, and reported product categories do not match actual operations
- Orders, clinical records, delivery evidence, setup records, and billing data are inconsistent
- Automated resupply occurs without a documented beneficiary request or current rule review
- Staff cannot distinguish initial qualification, continued-use, replacement, and recurring-supply workflows
- Subcontracted delivery or fulfillment responsibilities are not documented and monitored
- The business relies on code-level assumptions instead of the policy effective for the transaction
